Updating and Submitting Time Records

The time tracking system allows users to log their working hours for a day before submitting this for approval on a daily, weekly, or monthly basis (as per configuration). 


Upon logging in, the employee will see the Update Timesheet button:

 

Clicking update timesheet will display the timesheet and its associated cost centres. From here, you can input and save any details you wish to record (such as start time, end time, breaks, and comments for the date(s) displayed):

 

 By clicking the fields without data, a new window will open for entering hours worked against the relevant cost centre.



It is possible to log time against the same cost centre, on the same day, by clicking Add Stint:



Once you have entered all the data necessary against the cost centres available to you, you can either select;
Save as Draft



Saving your timesheet as a draft will allow you to come back and update your timesheet at a later date; this is perfect for entering your data as you go so that you can send it for approval once you are ready.
Submit for Approval



Submitting your timesheet for approval duplicates the entered information and sends it via email to your approver(s) for approval. You will no longer be able to make amendments to the timesheet.

The approver then has the option to approve or decline. If declined, a reason must be given, while approval has an optional comment field for the approver's notes. 


After you have submitted your timesheet, the next time you access the record, the system will show the current status of the approval at the top of the timesheet, as well as in the bottom left corner:
