Data Reports

Absence data can be exported from the system by selecting from several standard exports. The data will be exported and downloaded in ‘CSV’ format.

See Using Reports for details about how to change the options for any of the reports detailed below.


12 Month Absence



This report allows you to export a monthly breakdown of absences over a 12-month period. The start day of the month is determined by the date of the Start Date value provided (see below).

This export enables you to download the employee data in the system based on the data held on the employee profiles.

The options for this report are shown below:

Employee TypeThe type of the employee that you wish to filter by.
Start DateThe start date to use for this report, the month breakdown will use the day part of the date specified to determine the day of the month to run from e.g. 30-Jan – 28-Feb or 30-Jun – 29-July.
Absence FilterThe absence type(s) to show as part of this report.

Absence Records Export


This export enables you to export planned and/or unplanned absence details for a given date range.


The options for this report are shown below. Use the format tab to specify the columns of data to be included.

Start Date/End DateThe start and end date of the report range.
Show Requests that OverlapWhether the user wants to display requests that overlap the Start date / End date
Date Range TypeThis allows the user to have the option of choosing between a variety of date ranges to filter by.
Planned/UnplannedWhether to show both planned and / or unplanned records.
Filter to Absence TypeThe absence type(s) to show as part of this report.
Filter to Leave TypeThe leave type(s) to show as part of this report.
Filter to Leave StatusOnly show these leave statuses.
Show Record BreakdownProvides additional details for the individual records.
Include First Day ColumnAdds a column that displays the first day of absence.
Only Include Data Within RangeOnly includes the record data that is between a start and an end date.
Display Approver Details AsWhat format to display approver information in.
Show Amendment DetailsShows any amendments made to a record.
Show Employee Total RowsGives more rows for an employee, such as their total TOIL and Annual Leave.

 


Contracted Hours


The Contracted Hours report will allow you to generate a report that details the particulars around the employee's contracted working hours.  These details can include:

  • Contracted Hours
  • Working Days
  • Non-Working Days
  • Public Holiday on Working Days
  • Public Holiday Hours
  • Average Hours/Full Week
  • Number of Full Weeks


Employee Export


The options for this report are shown below. Use the format tab to specify the columns of data to be included. You can also download this data if you wish. The employee export is located under 'Employees' on the Reports tab.

Sort ByThis gives the user the options for how the data can be organised and displayed
Show Allocation UnitsThis allows user to display the data by either days, hours or by what is set on each staff’s profile.

 


Monthly Absence Detail



This export enables you to export a detailed breakdown of employee absence over a single month. 

The options for this report are shown below. You can also download this data if you wish.

Planned Leave FilterThe leave type(s) to show as part of this report.
Show Absence Type CodesThis will show the code that has been added to an unplanned absence type.
Use Leave Type CodesSame as above but for leave that isn’t an absence.
Include Year to Date FiguresShows data from the beginning of the year to a specified date.
Show Records in HoursConverts the days data to hours on the report.
