Conflict Groups allow you to define a minimum cover levels as a number or percentage of employees that must be working at all times. This rule can be applied to selected departments or groups of given
employees. Using Conflict Groups, you are able to select whether to prevent an employee from requesting leave if the request surpasses the minimum number or percentage of employees required, or to just warn the employee with a custom message and provide them with a textbox to justify why they require the leave request.
Conflict Groups can be accessed from the task bar on the Administration screen by selecting the Cover
Levels option.
To add a new Conflict Group the Add Conflict Group button must be selected and the required fields be completed to give the desired effect:
Name of Conflict Group | The text given to differentiate the Conflict Group from others that may be created. |
Apply to Department(s) or Employees? |
Select whether this Conflict Group will be applied to a number of Departments, or a group of employees that can be added using the name picker: If Department(s) is selected, then similarly, a list of departments will be available to choose from: |
Minimum Percentage of Employees | The minimum percentage of the selected employees that are required to be working at all times (e.g. If half of a department is required to be working at all times a minimum percentage value of “50” should be given in this field). |
Minimum Number of Employees |
The minimum number of the selected employees or employees in a department that are required to be working at all times. |
Warn and Require Justification |
Select whether a user is prevented from submitting a leave request if the request means there would be less employees than the minimum allowed for that Conflict Group, or to just warn the employee and provide them with a textbox to justify their request. Several options are available:

Warning Message | The message that a user is shown if Warn and Require Justification is set to Warn and justify and their request means the minimum percentage or number of employees rule is triggered. |
Notification Email | The email address that trigger point notifications regarding this Conflict Group will be sent to. |
Grant Access to Non-HR Staff | If a line manager has access to the Cover Levels report this field gives the line manager access to view this Conflict Group in the report. Please note that line managers will automatically gain access to any departments they currently have access to and this field is only required to be added for circumstances where you only wish to give a line manager access to any selected department for the defined Conflict Group in the report and not in any of the rest of the system’s features. |
Click Save at the top of the screen:
Trigger Point
Using Conflict Groups you are also able to create a trigger point with the Conflict Group below minimum requirement rule selected. This feature will send an email to the supplied email addresses on an hourly, daily, weekly and monthly basis or on a specific date of the month detailing those employees or departments that are below the minimum staffing requirement in the date range defined.
There is also a predefined trigger alert monitoring unplanned absence records. If on creation of an
unplanned absence, the department or group of employees fall below the threshold defined on the conflict group, the system will send a trigger alert email to the notification email list defined on the conflict group record.
