Employee Management
Under the HR Hub >Dashboard section, selecting Current Employees will load the list of employees currently within the system.
From here you will also be able to create new employee profiles by selecting the (+) icon at the top of the screen:
On the next screen, you will be asked to fill out some mandatory details marked with an Asterix.
Username | Automatically generated from the first, last and the company name prefix defined in the system configuration. |
Password | Automatically generated once the new employee has been created with a valid e-mail address. |
Employee Number | Will be used to link appraisals to that specific user. Its value can be anything, but it is recommended that the numbering sequence is memorable to HR. |
Job Role | An employee's role within the company. |
Contract Start Date | Date the employee commenced working for the company. |
Division:Department | Must be colon separated e.g., IT:Support |
While within the employee profile, you will find a tab calls Appraisals. Selecting this offer you some options for setting the; Level, Type, Appraiser and Cosignatory.
Level | The level at which the employee will be appraised. |
Types |
Regulated/Unregulated appraisals etc. |
Appraiser | The person that is responsible for the employees' appraisals. |
Co-Signatory | The person who must review and accept/decline the appraisal and its comments. |
Access Roles Field
The Access Roles field will define what roles/security permission the employee will have.
Administrator (Admin) | Administrators can manage the system wide configurations; including Appraisals and Interim Review Types, Employee creation etc. |
Human Resources (HR) | HR Users have access to all employee records, including appraisals and interim reviews. |
Line Manager (LM) | Grants the employee access to manage their appraisee's appraisals and interim reviews. |
User | Grants the employee the ability to complete any appraisal or interim review that has been issued to them. |
Blocked | Prevents the user from accessing the software. |
It is possible to give a user more than one access role, for example:
A Director may want to have access to all employee records and some system configuration. Ticking both Admin and HR will grant the employee the required access for this.
Archiving Employee Profiles
Employees can be archived once created. To archive an unwanted profile, or the profile of an employee who has left the company, follow the steps below:
- Open the Employee Profile
- Select the Mark as Leave button in the top left of the screen
This will open a new dialog box with some mandatory fields relating to contract end date etc.
Once you have filled in the required fields, selecting Mark as Leaver will add the contract end date to the profile and remove the user from the appraisal processes.
All historical data will be retained against the archived profile that user.
