Sending Trigger Point Alerts to Microsoft Teams

Activ People HR can send Trigger Point alerts directly to Microsoft Teams, helping managers and HR teams receive important absence notifications in the places where they already work.

Alerts can be sent to either:

  • A Microsoft Teams channel, such as an HR or Management channel.

  • A Microsoft Teams chat, allowing alerts to be delivered to a specific group chat.

Activ People HR uses Microsoft Adaptive Cards to present the Trigger Point alert clearly within Teams.

Before You Start

To connect Activ People HR to Microsoft Teams, you will need access to the Microsoft Workflows app within Teams and permission to create workflows.

Your Microsoft 365 administrator may need to enable the Workflows app if it is not currently available within your organisation.

Step 1 – Enable the Workflows App in Microsoft Teams

Open Microsoft Teams and select Apps.

Search for:

Workflows

Select the Microsoft Workflows app and add it to Teams if it is not already enabled.

If you cannot find or install Workflows, contact your Microsoft 365 administrator and ask them to enable the Workflows app for Microsoft Teams.

Step 2 – Create a New Workflow

In the channel or chat where you want the trigger point to alert click the three dots 'more chat options'

Select the Workflows app .

Search the available templates for the type of Teams notification you want to create.

For alerts sent to a Teams channel, select:

Send webhook alerts to a channel

Alternatively, if you want Trigger Point alerts delivered to a Teams chat, select:

Send webhook alerts to a chat

Step 3 – Select the Teams Channel or Chat

Follow the instructions within the workflow.

For a channel workflow, select the Team and Channel where you want Activ People HR Trigger Point alerts to appear.

For a chat workflow, select the Teams chat where you want the alerts delivered.

Complete the workflow setup and save it.

Step 4 – Copy the Workflow Webhook URL

Once the workflow has been created, Microsoft will provide a Webhook URL.

Copy this URL.

The Webhook URL provides the connection between Activ People HR and your Microsoft Teams workflow, so it should be treated as sensitive and only shared with authorised administrators.

Step 5 – Add the Webhook URL to Activ People HR

Log in to Activ People HR and open the Trigger Point configuration.

Open the Trigger Point that you want to send to Microsoft Teams.

Within the notification settings, locate the Webhook URL field.

Paste the URL copied from Microsoft Teams into this field and save the Trigger Point.

What Happens Next?

When the Trigger Point conditions are met, Activ People HR will send the alert to the Microsoft Teams workflow.

The workflow then delivers the notification to the configured Teams channel or chat.

The alert is displayed using a Microsoft Adaptive Card, providing managers or HR users with a clear notification containing the relevant Trigger Point information.

Using Different Teams Destinations

You can create multiple Microsoft Teams workflows if different Trigger Point alerts need to go to different destinations.

For example, you could configure:

Absence Trigger Point → HR Team channel

and

Manager Trigger Point → Management Team chat

Each Microsoft workflow will have its own Webhook URL. Simply enter the appropriate Webhook URL against the relevant Trigger Point Alert within Activ People HR.

Troubleshooting

The Workflows app isn't available

Your Microsoft 365 administrator may have restricted the Workflows app. Contact your IT or Microsoft 365 administrator and ask them to enable Microsoft Workflows for Teams.

No alert appears in Teams

Check that the Webhook URL entered in Activ People HR exactly matches the URL provided by the Microsoft workflow. Also check that the workflow is enabled and that the Team, channel or chat selected within the workflow still exists.

Alerts are going to the wrong Teams location

Open the workflow in Microsoft Teams and check which channel or chat has been configured. Alternatively, create a new workflow for the required destination and update the Webhook URL within Activ People HR.

Summary

Setting up Teams notifications requires just three main steps:

  1. Create a Microsoft Teams workflow using the Send alert to Teams channel or Send alert to Teams chat template.

  2. Select the channel or chat that should receive the alerts and copy the generated Webhook URL.

  3. Paste the Webhook URL into the Trigger Point Alert within Activ People HR.

Once configured, Activ People HR will automatically send Trigger Point alerts to Microsoft Teams using Adaptive Cards whenever the relevant Trigger Point conditions are met.
