How do I issue a new employee their username and password?

Step 1: Navigate to the Password Management Tool

  1. Go to the HR Hub.
  2. Select Employees.
  3. Click on Issue & Reset Password from the left-side menu.

You will be redirected to the password management view.


Step 2: Choose the Appropriate Action

You’ll see two main options:

  • For New Employees:

    • Select the left-hand option to send a Username and Password email.
    • This is recommended for onboarding new users.
  • For Existing Employees (Password Reset):

    • Select the right-hand option to send a Password Reset email.
    • Use this when an employee is unable to log in or has forgotten their password.

Step 3: Select Employees

You can issue emails to:

  • A single employee
  • Multiple employees using:
    • The employee picker
    • Payroll number search

Step 4: Send the Email

Once you’ve selected the relevant employees:

  • Click Send Username and Password Emails (for new users), or
  • Click Send Password Reset Emails (for login issues)

The selected employees will receive the appropriate email with instructions.
